[Difx-users] Reminder: DiFX users meeting 2016 pre-announcement (doodle poll for the schedule of meeting)

Please let me remind you the coming deadline of the poll is June 30, today. We have just recieved a few polls by now.

Hi everyone,

 In my former email, I told the first and the second week of November were conflicted with some domestic meeting in China. So the weeks after Nov 14 were proposed. But it seems the weeks of November 14 and November 21 are not possible for some of us either. There is something good that the domestic meeting in the first week of November will begin on Nov.1 (Tuesday).  If we start our user meeting on Oct. 30, the Sunday, we would still have some local people attending the user meeting. In that case, the period from Oct 30 to Nov 3 is still a choice. Is it acceptable for you all if the meeting start on Sunday? Anyway, I made a doodle poll for the schedule of the meeting, I would like to invite all the difx-developers and difx-users to fill your choices and comments if you have.

November 14-18 is ok for me also.  Does anyone on the difx-users list that initially responded in favour of a November date have issues with the week of 14-18?  If not, I think we should set that now, and then we can begin the process of setting up a meeting page, etc.

That change is OK with me.  In the US the big Thanksgiving holiday is Nov 24, but your suggestion of Nov 14-18 avoids that.  I don't know of any other conflicts at that time.

Sorry, the schedules of some domestic meetings in late of this year are long in coming. I just heard there will be another VLBI workshop held in the week of Nov.7 in China. There will be also an annual meeting in the first week of Nov. Can we move our workshop to the week of Nov. 14 or later? Sorry for the inconvenience.

Thanks to all who have responded so far.  Based on these responses, we have narrowed it down to the two options in November.  There is probably a marginal weighted preference for November 7-11, however this does fall at the same time as the SKA science meeting in Goa, India.  I could imagine that some people may wish to attend the SKA science meeting as well as the DiFX workshop.  If you are likely to attend the SKA science meeting and would prefer not to have the DiFX workshop on the same week, please let me know.  Otherwise, I think we will settle on the week of November 7-11.

The time has come to start planning the 10th (yes, 10th!) annual DiFX users and developer's workshop.  At Hobart in 2015, we discussed possible venues, and Shanghai was nominated with broad support.  Since the workshop has been held in Europe and Australia three times each, the US twice, and Asia only once so far, it would be appropriate and enjoyable to head to China this year.


Wu Jiang has investigated some options for dates and locations.  The baseline plan would be to hold the meeting in downtown Shanghai (where there observatory headquarters are), which is most convenient for transportation and accommodation.  We could arrange a visit to suburban campus co-located with the Tianman and Sheshan 65m and 25m telescopes on one day.

A visa is required for most visitors to China. No visa is required for ordinary passport holders from Singapore, Brunei and Japan to visit China for up to 15 days for business, sightseeing, visiting relatives and friends or transit. For more information, please see http://cs.mfa.gov.cn/wgrlh/lhqz/lhqzjjs/, and note that it will be necessary to  prepare your visa application at least 30 days before the entry date to China.

In terms of dates, the meeting has traditionally been held sometime between September and November.  Due to some public holidays and other meetings, the earlier part of this date range is not so convenient.  So we would like to propose 3 options:


October 24-28
November 1-4
November 8-11


In each case, the users meeting would be held during the first two days, and the developers meeting the last three days. If you want to attend the DiFX users and developers meeting this year, can you please respond to this mail with a preferred week or weeks, or any other scheduling conflicts that we may have forgotten about?  If we can collect some responses over the next week or two, it would be nice to select a date soon to allow attendees plenty of time make travel plans and arrange visas etc.  Once the date has been settled, there will be a meeting webpage put up, registration made available, talks solicited, etc etc.
